In short

A typical UK office AC installation costs £450–£1,400 per m² depending on split vs VRF, takes 4–6 working days for a 200 m² floor, and requires a landlord Licence for Alterations. AccuTemp handles the L4A, F-Gas 517/2014 registration and TM44 baseline as standard.

The install

Four stages, one accountable engineer.

  1. 01

    Heat-load survey

On-site walkthrough measuring occupancy, glazing orientation, IT load and ventilation. We produce a W/m² figure — not a rule-of-thumb estimate — so the system is sized to the actual demand.

  2. 02

    System design & landlord licence

Detailed drawings for M&E consent, condensate routing and, for leaseholds, the landlord Licence for Alterations. We handle drawings and the L4A submission on your behalf.

  3. 03

    Programmed installation

Out-of-hours or weekend installs on live floors. Typical 200 m² fit-out completes in 4–6 working days. F-Gas certified engineers throughout, DBS-cleared for regulated tenancies.

  4. 04

    Commissioning & handover

Refrigerant charge, controls commissioning, BMS integration if specified, and a handover pack with O&M manuals, F-Gas record, and TM44 baseline data.

Every install includes

No hidden line items at handover.

  • CIBSE-compliant heat-load calculation
  • Landlord Licence for Alterations pack
  • F-Gas 517/2014 registration
  • Structural condensate & bracketry drawings
  • 5-year Daikin parts & labour warranty option
  • TM44 baseline lodged on the register

Office AC FAQs

What every office manager asks before signing the PO.

How much does office air conditioning cost to install?
For a UK commercial office, budget £450–£900 per m² for a split system and £700–£1,400 per m² for VRF, installed. A 200 m² floor with a 4-zone VRF typically lands at £45,000–£70,000 + VAT including landlord Licence for Alterations, commissioning and warranty. Full pricing lives in our commercial AC cost guide.
How long does it take to install office AC?
A single-floor 200 m² office typically takes 4–6 working days once materials are on site. Programmed weekend or out-of-hours installs are standard — most of our fit-outs happen without staff evacuating the floor.
Do I need landlord consent to install air conditioning?
In almost every commercial leasehold, yes. You need a Licence for Alterations (L4A) covering the units, external condenser location, riser use and reinstatement obligations at lease end. AccuTemp prepares the L4A pack and negotiates it with the landlord's surveyor.
Can office AC be installed on a live floor?
Yes. We install on live occupied floors routinely — brazing and refrigerant work happen out-of-hours, cassette drops and controls commissioning during standard hours. Occupants generally lose access only to the specific meeting room being worked on that day.
What system is best for an open-plan office?
For most open-plan floors up to 150 m², a 4-way ceiling cassette split is the right answer — even air distribution, no ducting cost, quick install. Above 150 m² or with cellular meeting rooms, VRF with a mix of cassettes and ducted concealed units usually wins on both comfort and running cost.
